Overview
What RAMPAGE is and who it is for.
What it does
RAMPAGE is a Risk Assessment and Method Statement generator built for live event production. You assemble a document from a library of pre-written activities, adjust the wording, scores and PPE for the specific job, and export a branded RAMS as a PDF or Word file.
The goal is speed without losing rigour: the heavy lifting (control measures, references, method text, recommended PPE) is already written in the library, so a full RAMS becomes a matter of picking the relevant activities and tailoring them, rather than starting from a blank page each time.
Who it is for
Production managers, site managers and crew chiefs who need to produce competent, consistent RAMS for shows, festivals and installs. It assumes UK practice and references familiar guidance such as the Purple Guide and the relevant regulations.
Editions
RAMPAGE comes in two forms that share an identical data model.
Offline single file
A single HTML file that runs in your browser with no server and no install. Data is stored in the browser. Ideal for one person, quick jobs, or trying the app out.
Hosted multi-user
A small PHP and MySQL application you host yourself. It has an installer, a login screen, and shared data so a whole team works from the same library, clients, venues and documents. This edition adds user management.
Getting started
How to open or install each edition.
Offline edition
- Open the RAMPAGE HTML file in a modern browser (Chrome, Edge, Firefox or Safari).
- Set your company details under Admin, Company profile.
- Create your first RAMS from the dashboard.
Hosted edition
- Create a MySQL or MariaDB database and a database user in your hosting control panel, and grant the user rights on the database.
- Upload the RAMPAGE folder to your web space, for example so the app sits at
/rampage/. - Visit the address in your browser. The setup wizard appears.
- Enter the database details and use Test connection to confirm them.
- Create the administrator account (password at least 10 characters).
- Click Install. The wizard builds the tables, writes its configuration file and permanently disables itself, then sends you to the sign-in page.
The dashboard
Your starting point every time you open RAMPAGE.
What is on it
- Global search across documents, clients and venues. Start typing and matching results appear instantly; click one to open it.
- Counts for documents, drafts, issued documents, upcoming events, clients and venues.
- Needs attention: documents where the event has passed but the status is still Draft, an event is within seven days but still Draft, or a residual risk is still rated Critical.
- Upcoming events in the next 60 days, sorted by date, with a quick view button.
- Recent activity drawn from the audit log.
Creating a RAMS
The editor is organised into numbered steps. You can save at any point and come back later.
Step 1: Event details
Enter the event name, client, venue and dates. Client and venue fields autocomplete from records you have used before. Type a new name and it is saved as a new record automatically when you save the document, so it is there next time. A live hint under each field tells you whether you are linking to an existing record or creating a new one.
Prepared by is filled in for you (your sign-in name on the hosted edition, or your default preparer name from the company profile), and you can set the document Status here.
Step 2: Scope of works
A short description of what the works cover. A sensible default is provided; edit it to suit the job.
Step 3: Risk assessment activities
Click Add activities from library to pick the relevant activities. Each one comes in with its hazard, who is at risk, initial and residual scores, control measures, references and responsible person already written. Adjust any of it for this specific event. Editing here does not change the master library.
A live banner warns you if any residual risk is still Critical, so nothing slips through.
Step 4: PPE requirements
PPE is recommended automatically from the activities you selected. Untick anything not needed for this event, and add any extra items.
Step 5: Emergency and site procedures
Tick the procedure sections this event needs. Four core sections (Emergency Procedures; First Aid and Accident Reporting; Fire Safety; Environmental Protection) are included by default, and optional sections such as Show Stop, Severe Weather and Wind Management, Crowd Management Interface, Lost Child and Vulnerable Person, Vehicle Movements, Working at Night, COSHH, Communications and Radio Procedure, and Safeguarding are ticked on per event.
The wording of each section comes from your organisation's procedure library (see Administration, Procedure library) and can be tweaked here for this document without changing the library. Reset returns a section to your organisation's standard wording, and Add procedure adds either a library section or a one-off section for just this document.
Step 6: Authorisation
Prepared by and an optional reviewed by. Approval is not typed here: it is recorded digitally when a user approves the document (see Workflow & revisions), and the approver's name, role and the date and time print in the authorisation section. Documents carry no signature fields; an unapproved document prints "Not yet approved" so it cannot pass as authorised.
Clients
Clients are saved records so you never re-enter them.
How they are created
You do not create a client as a separate step before starting a RAMS. Name the client on the document as normal, and the first time that name is used it is saved as a client record automatically. This keeps document creation fast.
The client page
Open Clients in the sidebar to see every client. Each one has its own page showing its contact details and the full history of RAMS raised against it, so you can find past work for a client in one place. You can also add or edit client details directly, and start a new RAMS for a client from their page.
Venues
Venues are the clever part: record site information once and it flows into every document at that venue.
How they are created
Like clients, venues are saved automatically the first time you name one on a RAMS. After that the venue autocompletes and its address fills in for you.
Reusable site information
A venue record can hold access and logistics notes, known site hazards, and the nearest A&E. When you produce a RAMS at that venue, this information is pulled into the document as a Site and Venue Information section. Record it once, and it is correct on every future document for that site.
Each venue also has its own page listing every RAMS produced there.
Activity library
The pre-written activities that documents are built from.
What is in it
Over 100 activities across nine categories: Power; Rigging and Height; Staging and Structures; AV and Production; Special Effects; Site and Logistics; Venue and Show Ops; Environment and Welfare; and General. Each activity has a hazard, who is at risk, initial and residual scores, control measures, references, responsible person, and method text.
You can search and filter the library, edit items, add your own, and restore the default library from the Admin panel if needed. The library is shared across the whole team on the hosted edition.
Risk matrix
How risk is scored.
Five by five scoring
Each hazard is scored for likelihood (1 Rare to 5 Almost Certain) and severity (1 Insignificant to 5 Fatality). The two values are multiplied to give a risk rating. Every activity is scored before controls (initial risk) and again after controls are applied (residual risk).
| Score | Band | Meaning |
|---|---|---|
| 1 to 4 | Low | Acceptable with routine controls. |
| 5 to 9 | Medium | Manage with the stated controls and supervision. |
| 10 to 16 | High | Strong controls and close supervision required. |
| 17 to 25 | Critical | Work must not proceed while a residual risk remains here. |
PPE
Recommended and editable
PPE for a document is recommended automatically from the activities you select, so you rarely start from scratch. You can remove anything not required for the event and add extra items. The final list prints in the PPE Requirements section, and any task-specific PPE listed against an individual activity also carries through.
Workflow & revisions
Track a document through its life.
Statuses
Every document carries a status:
- Draft being prepared.
- Issued released for the event.
- Archived finished and put away.
Status shows throughout the app and on the document cover. You change it from the More menu on a document, or in the editor.
Digital approval
Any user can approve a document, from its More menu or the button on the preview screen. Approval records their full name, job title and the date and time, marks the document Issued, and prints in the authorisation section together with an audit line. There are no signature fields anywhere in the document.
Approval is protective: editing an approved document withdraws the approval automatically so the changed content must be re-approved, issuing a new revision does the same, and approving while any residual risk is still Critical shows a warning first. Approval can also be withdrawn manually.
Versions and revisions
Document versions move automatically as you work. Saving changes to an existing document bumps the minor version (1.0 to 1.1 to 1.2) and confirms the new number; saving without changing anything leaves the version alone, so simply opening a document never creates noise. A brand-new document starts at v1.0 on its first save, duplicates start fresh at v1.0, and the version field remains editable if you ever need to set it by hand.
Issue new revision is the major step: it snapshots the current version into a dated revision history, moves the document to the next whole version (for example 1.3 to 2.0), withdraws any approval so the new revision is re-approved, and returns it to Draft. You can view the revision history at any time.
Templates
Reusable starting points
Save any RAMS as a template from its More menu. A template captures the scope, the selected activities and the PPE, but not the event, client or venue, so it is a clean starting point for similar jobs. Start a new document from a template in Admin, Templates. This is ideal for a standard show build or a recurring type of event.
Company profile
Admin, Company profile. These details appear on every document.
Details and branding
- Company name, address, phone, email and website, shown on the cover and footer.
- A logo (PNG, JPG or SVG up to 400 KB) that prints on the cover page.
- A default preparer name that pre-fills Prepared by on new documents.
- The export file name prefix and footer text.
Insurance
Turn on an optional Insurance section for generated documents, and record your Employers' Liability and Public Liability details, the public liability limit, and the renewal date. When enabled, these appear as an Insurance section in the RAMS.
Health and safety policy statement
An optional policy statement. When provided, it prints as an appendix at the end of the document.
Crew briefing & digital sign-on
Hosted edition. Brief your crew from their phones and build a defensible briefing register on every document.
Publishing a briefing link
Open a document's actions (or the Preview screen) and choose Crew briefing, then Enable briefing link. RAMPAGE publishes a secure page for that document with a QR code and a link you can copy. Crew do not need an account: they scan the QR on their phones and see a mobile briefing with your branding, the event summary, scope of works, key risks and controls, required PPE, and the enabled site procedures.
Signing on
At the bottom of the briefing, crew sign on with their full name, their role on the event, their company if they are subcontracted crew, a read-and-understood confirmation statement, and a drawn signature. Each sign-on is recorded in the document's briefing register with the exact document version it was made against, the time, and the signature.
The briefing register
The Crew briefing panel shows every sign-on. Because sign-ons are tied to versions, anyone who signed on to an older version is flagged after you revise the document, so you know exactly who needs re-briefing. Use Refresh register to pull in sign-ons that arrived while the panel was open.
Crew Planner
Hosted edition. A full peer to RAMS: crew scheduling, timesheets and leave, built into RAMPAGE and reskinned to match. You can work entirely in the planner, entirely in RAMS, or move between them from the dashboard.
Two levels of access
Open Crew Planner from the navigation. There are two levels. Planner managers, and all administrators, run the whole planner. Everyone else who signs in gets a personal crew space that shows only what matters to them: their own clock, leave and schedule. This split is enforced on the server, so crew-level users cannot reach management data even if they try; it is not simply hidden in the browser.
For planner managers
The crew database holds permanent staff and freelancers with their site, department, skill tier, contract hours, annual leave allowance, roles and line manager. Vehicles are tracked with type, registration and site. Planner events (operational crewing events, separate from your RAMS documents) carry role slots: add the roles an event needs, then assign crew to specific days and to AM, PM, Overnight or All Day periods. The planner warns you when someone is double-booked, both within one event and across different events on the same day.
Click any event to open its overview page, a single place showing the event summary and status, logistics, the crew and schedule with fill and clash figures, assigned vehicles, any linked RAMS with their approval status, and the crew info pack.If Current RMS is connected (the same integration used for RAMS), an Import from Current RMS button appears on the Events tab. Search your opportunities and bring one in as a planner event: the subject, client, venue, dates and status are mapped across for you. Re-importing the same opportunity updates that event in place rather than creating a duplicate, and keeps any roles, crew and vehicles you have already assigned to it, so operational crewing survives a refresh from the booking system. Imported events are marked with an RMS tag in the list.
Timesheets, hours and TOIL
Crew clock in and out. Each entry goes to the person's line manager for approval, or approves itself automatically when no line manager is set. Managers see who is currently on the clock, approve or reject entries (a rejection reason is shown back to the crew member), and read a monthly table of worked hours against contract, with overtime and a running TOIL balance. The hours, overtime, TOIL and annual-leave calculations are carried over unchanged from the standalone planner.
Leave
Crew request annual leave, TOIL, rest days and other types; working days are counted automatically. Managers approve or reject requests and see annual-leave entitlement, days taken and remaining, plus TOIL balances, for each crew member.
Everyone's crew space
Every signed-in user has a personal space: clock in and out (optionally against an event), request and withdraw leave, and see their own upcoming schedule, leave balances and recent timesheets with any rejection notes. If a user's login is not yet linked to a crew record, the space explains that a planner manager needs to add them.
Crew info packs
Click any event in the planner to open its information panel, then choose Edit info pack to build a crew info pack: everything a crew member needs before a job. The fields are all optional, so the pack only shows what you complete. They cover a welcome message, the event address and a what3words meeting point, parking notes, site contacts with phone numbers, what the job actually is, live and trucking times, health and safety notes and minimum PPE, crew food, derig plans, and any custom fields you want to add.
Choose Share crew info pack to create a public, read-only link. Anyone with the link can open it, no login needed, and see the site details, the crew schedule with names and call times, and any RAMS created for the job (shown as title, version and whether approved; the full RAMS document stays private). Two toggles let you leave the schedule or the RAMS out if you would rather not include them. The link can be revoked at any time, and the pack page is mobile-friendly and can be printed or saved as a PDF. The link stays live, so if you update the pack before the job, everyone with the link sees the latest version.
Excel and per-organisation lists
Crew, vehicles and events can be imported from and exported to Excel. The lists that shape the planner (sites, roles, vehicle types and event types) are set per organisation in the planner's Settings tab, so each of your client organisations runs the planner its own way.
How it fits into RAMPAGE
The planner sits behind your normal RAMPAGE sign-in and stores everything per organisation in the RAMPAGE database, covered by the same organisation separation and the same backups as your documents. Switching organisation (platform administrators) switches whose planner data you see. The planner runs entirely from your server, with no outside services needed.
Scheduling, availability, outreach and PLI
Each event role shows a visual schedule grid: days across the top, AM, PM, Overnight and All Day down the side. Click an empty cell to assign a crew member or reserve the slot, click a filled cell to clear it. A fill bar shows how complete each role is, and any clash (the same person booked elsewhere that day) is flagged on the cell itself.
The Calendar tab is a month view across the whole planner, showing events, leave and availability blocks together and filterable by crew member. Add availability blocks (Home Office, Medical Appointment, Rest or Not Available) against any person for a date range; these are separate from formal leave and just record where people are.
The Outreach tab is a freelancer availability log: pick an event (or a general enquiry), tick the crew you contacted, note what you asked, and it keeps a running record of who was approached and when.
PLI insurance can be held against each crew member (insurer, policy number, cover amount, start and expiry dates, and a certificate reference). The crew list shows a status of Valid, Due soon or Expired based on the expiry date, so lapsed cover is easy to spot. Note that this records the policy details and reference; the certificate document itself is stored wherever you keep your files, not uploaded into RAMPAGE.
The document hub
Click any document to see its whole story, not just its content.
The feedback loop
Every route to a document leads to its hub: the documents list, the dashboard's Upcoming events, and client and venue RAMS history. The hub shows approval status, crew briefing sign-ons (with warnings when crew were briefed against an older version), client engagement (views, last viewed, send history), revision history, and quick actions for everything: Edit (which takes the editing lock), Preview, PDF and Word downloads, Send by email, the crew briefing panel, approval, revisions and duplication.
Email & client links
Hosted edition. Send documents from RAMPAGE and know when they are seen.
Setting up email
Under Admin, Integrations, choose your server's built-in mail (simplest) or an SMTP account (recommended, so messages come reliably from your own address, for example a Microsoft 365 or Google Workspace mailbox). Enter the host, port, encryption and credentials, save, and use Send a test email to prove it end to end. Credentials are stored on your server only. Leaving the password blank when editing keeps the saved one.
Sending a document
Send by email (from the hub or a document's actions) opens a pre-filled message: recipients from the linked client record, a sensible subject, and an editable covering message. Recipients get a branded email with a button that opens a live, read-only view of the document. Because the link shows the live document, a revision does not need re-sending: the same link always shows the latest version. Every send is recorded on the document.
The client view & tracking
The client view is a polished, mobile-friendly rendering of the full document: event details, approval, scope, the complete risk table, method statements, PPE and procedures. Every open is recorded, so the hub shows whether and when your RAMS was actually looked at. The link can be revoked instantly, and client links and crew briefing links are strictly separate: one cannot be used as the other.
Editing locks
Hosted edition. Only one person can edit a document at a time.
How it works
Opening a document to edit or preview takes an editing lock. If someone else already has it open, you are told who is editing and since when, and you can open the document read-only, try again, or, if you are an admin, take over the session. In read-only mode a banner is shown and saving is blocked, so nobody's work can be overwritten.
Locks release automatically when the editor saves and leaves, cancels, navigates elsewhere in RAMPAGE, signs out, or closes the tab. If a browser crashes, the lock expires by itself within about 90 seconds, so documents are never stuck.
Procedure library
Admin, Procedures. Your organisation's standard Emergency and Site Procedures.
How it works
The library holds every procedure section available to your documents: the four core sections, the optional built-ins, and any you add yourself. For each one you can edit the standard wording to match how your organisation actually works, and choose whether it is included on new documents by default or ticked on per event. Built-in sections can be reset to their factory wording at any time; your own can be deleted.
Changes apply to documents created from that point on. Existing documents keep the wording they were written with, and each document can still tweak any section's text for that event alone.
Integrations
Admin, Integrations. Hosted edition only.
Current RMS
Link RAMPAGE to your Current RMS system and import opportunities straight into new RAMS documents. Once connected, an Import from Current RMS button appears in the RAMS editor for all users: search your opportunities by subject, client name or opportunity number, pick one, and the event name, document ref (the opportunity number), client, dates, venue and venue address are prefilled. The document is tagged with the opportunity number, and imports appear in the audit log.
Imported names plug into your existing records: a venue RAMPAGE already knows keeps its stored access notes, hazards and nearest A&E, and new clients or venues are created automatically when you save, exactly as if you had typed them.
A Setup guide button on the Integrations tab walks through these steps inside the app, including troubleshooting.
Connecting
- In Current RMS, go to System Setup, then Integrations, then API, and generate an API key.
- In RAMPAGE go to Admin, Integrations, enter your subdomain (the first part of yourcompany.current-rms.com) and the API key, and press Test & connect. The connection is verified live before it is saved.
Organisations (multi-tenant)
Hosted edition. One RAMPAGE installation can run many completely separate workspaces.
How it works
Each organisation is a fully isolated workspace: its own documents, clients, venues, activity library, templates, company profile, users, audit log and integrations. Users belong to one organisation and only ever see that organisation's data. A Current RMS connection belongs to the organisation that set it up.
The platform administrator
One account (yours) sits above all organisations as the platform administrator. It can create, rename, deactivate and delete organisations from the Super Admin area under Manage, and it has a switcher at the top of the sidebar to open any organisation and work inside it exactly as its own admin would: manage its users, set its company profile, connect its Current RMS, and produce its documents.
Ordinary organisation admins see none of this: no switcher, no Organisations tab, and no way to reach another organisation's data. Platform administrator accounts cannot be demoted, disabled or deleted by organisation admins.
Deactivating and deleting
Deactivating an organisation blocks its users from signing in (the platform administrator can still open it); reactivate it at any time. Deleting an organisation permanently removes all of its data and its user accounts, requires typing the organisation name to confirm, and is refused for the organisation holding the platform administrator account.
Data & backup
Admin, Data & backup.
Export and import
Download a full JSON backup containing your library, documents, clients, venues, templates and company profile. Import a backup with a choice of two modes:
- Merge into current data, skipping anything already present.
- Replace everything with the contents of the backup.
Because both editions share the same data model, this is also how you move data between the offline and hosted versions in either direction.
Audit log
Who did what
Admin, Audit log shows a running record of key actions in the workspace, such as documents created or issued, clients and venues added, templates saved, and backups run. The most recent entries are kept and also feed the Recent activity panel on the dashboard.
Users & roles
Hosted edition only. Admin, Users.
Roles
| Role | Can do |
|---|---|
| Administrator | Everything, plus the Admin panel: company profile, templates, backups, audit log and user management. Always a planner manager. |
| User | Full use of RAMS (documents, clients, venues, library, templates and exports) and the Crew Planner, but no Admin panel. |
| Crew | Crew side only. Signs in straight to My Crew Space (their schedule, clocking and leave) and cannot open, create or view RAMS. A Crew account is never a planner manager. |
Profiles
Every account carries a profile: first name, last name, job title or role on site, mobile number and email. The full name is what appears on documents, as Prepared by and in approvals, so it is worth completing. Administrators edit any profile from the Users tab; each person can edit their own via My profile in the sidebar.
Managing accounts
Administrators can create users, promote or demote admins, enable or disable accounts, reset passwords and delete accounts. Safety rails prevent you deleting or disabling your own account, and the last active administrator can never be demoted, disabled or deleted.
Exporting documents
From the Preview and Export screen.
The Download PDF button builds and saves the PDF immediately, with no print dialog. It is a real A4 document with selectable text, correct page breaks, the coloured risk badges, and page numbers, generated directly from your document data. The filename includes the event name and version.
Word (.docx)
The Word button downloads a .docx version of the document for editing in Word or Google Docs. The Word engine is built into RAMPAGE, so this works without an internet connection.
Data & storage
How your information is stored.
What is shared
On the hosted edition everyone signing in shares one workspace: the activity library, company profile, clients, venues, templates and documents are common to the whole team. If two people edit the same document at once, the last save wins.
Storage keys
Internally the app stores each collection under a named key. These are created automatically the first time each feature is used.
| Key | Holds |
|---|---|
rams:library | The activity library |
rams:documents | All RAMS documents |
rams:clients | Client records |
rams:venues | Venue records |
rams:templates | Saved templates |
rams:auditlog | Recent activity |
rams:settings | Company profile and preferences |
Security
Hosted edition.
Built-in measures
- Passwords hashed with bcrypt, never stored or logged in plain text.
- All database access through prepared statements.
- Session cookies are HttpOnly and SameSite, Secure over HTTPS, the session ID is regenerated at login, and sessions idle out after eight hours.
- A CSRF token is required on every change.
- Login rate limiting: five failed attempts per address or username triggers a 15 minute lockout.
- The installer refuses to run once installed and will not install over an existing user table.
- Internal files are blocked from direct access by both a PHP guard and, on Apache, .htaccess.
Tips
Work faster
- Save a standard show as a template, then start each new job from it.
- Fill in venue access notes, hazards and nearest A&E once; they flow into every future RAMS at that venue.
- Use the dashboard search to jump straight to a document, client or venue.
- Watch the residual risk banner in the editor: clear any Critical residual risk before issuing.
Troubleshooting
The PDF prints without colours
Tick Background graphics in the browser's print dialog before saving. In Chrome it is under More settings.
Database access denied during install
Check the database user's password, and that the user has been added to the database with full rights in your control panel (in cPanel this is the Add User to Database step). Confirm the database name, user name and prefix exactly match what the panel shows.
Moving my data to a new machine or edition
Use Admin, Data & backup to export a JSON file, then import it on the other machine or edition.
Updating the hosted app
Replace app.php with the new one. Your data and user accounts live in the database and are untouched by swapping that single file.
Version numbering
How to read RAMPAGE version numbers, and where to find them.
Where the version is shown
The current app version is shown in the sidebar under the RAMPAGE name. Click it to open the in-app version history. This manual also states the version it documents at the top.
How the numbers work
RAMPAGE uses three-part numbers, major.minor.patch:
- Major (the first number) is a big release that adds or reshapes whole areas of the app.
- Minor (the second) adds features within the existing shape.
- Patch (the third) is a fix or small correction.
Changelog
The full history from the first release to the current version, newest first.
Send email from your own Microsoft mailbox
- Connect Microsoft, on the Email card under Admin, Integrations. Works with work, school and personal Microsoft accounts, and an organisation can pin the sign in to its own directory if it prefers.
- Messages are now sent with each part encoded, so long lines in an email template cannot be corrupted in transit. This applies to both connected mailbox types.
Send email from your own Google mailbox
- Connect Google, on the Email card under Admin, Integrations. One mailbox per organisation, connected by an administrator, with no SMTP password to store.
- Sending goes through the mailbox itself, so messages appear in its Sent items and replies come back to it.
- Server built-in mail and SMTP still work exactly as before. Microsoft is planned next.
Manage your own crew roles, and clearer day cells
- A Crew roles manager in Planner Settings: add, rename, reorder and remove roles, with a count next to each showing where it is used.
- Renaming a role updates everything that refers to it, including existing assignments, headcount targets and crew profiles. Removing a role that is in use asks which role to move its work to first.
- Day grid cells now show the call time rather than an abbreviation of the role. The role is still on the cell tooltip and in the group heading.
Saved crews you can reuse job to job
- Saved crews on the Who is on the job step: tap a saved crew to add everyone in it, and use "Save this crew" to keep the current crew list for next time.
- Save any selection from the day grid as a crew, using the tick boxes and the bulk bar.
- A manager for saved crews where you can rename one, change who is in it, or delete it.
- Adding a saved crew never doubles anyone up, and it reports how many were added, how many were already on the job, and how many are no longer in your crew list.
Crew grid grouping and bulk assignment
- Crew are grouped by the role they do on the job, with a collapsible heading per group and a per day subtotal on each heading, shown against your target where one is set.
- Tick boxes on each row with a bulk bar: add the selected people to chosen days, to every day of the run, or take them off the job in one go, plus a select all control on the grid corner.
- Bulk adding places people in the role they already do on this job, falling back to their main role, and never creates a duplicate where someone is already on that day.
Crew headcount targets and gaps
- Plan targets on an event: set the headcount you need for each role on each day, with an "all days" box to fill a whole role at once.
- A headcount panel at the top of the Assign to days step showing filled against needed for every role and day, colour coded, with a per day total and a running count still to fill.
- Tap any shortfall to open a focused list of crew who can do that role, free people first with availability flags, and add several at once.
- Role rows with a target are kept on the event even before anyone is assigned, so a plan can be built up front.
Favourite and always included library activities
- Favourites: star any activity in the Activity Library or from the picker while building a RAMS, and use the Favourites view in either place to list just those.
- Always included activities: flag the ones you use on every job and they are added to each new RAMS automatically as a starting point. They become ordinary copies, so you can still edit or remove them on any single document.
- The library filter bar gained Favourites and Always included views alongside the category filters, each with a live count.
- The library table now has a star and a pin on every row for quick marking, and the activity editor has matching options.
Manage your Activity Library categories
- A Manage categories panel on the Activity Library: add a category (it sticks even before any activity uses it), rename one (its activities move with it), reorder, or remove. Removing a category that still has activities lets you move them elsewhere first, so nothing is orphaned.
- A category filter bar above the library, each category showing a colour dot and a live count, one tap to filter. This replaces the old category dropdown.
- The category colour palette was extended and now wraps cleanly, so a large custom set of categories stays colour coded.
Fix: mobile menu cut off some navigation items
- The mobile menu now sizes to the visible screen and scrolls as one panel, so every navigation item and the account buttons are always reachable. Previously it was measured as if the browser toolbars were hidden, which pushed the lower items off the bottom of the screen. The account buttons also now match the dark menu styling.
Fix: tick box labels spilling outside panels
- Tick boxes were picking up the full width styling meant for text fields, which pushed their own label out of the panel. They are now sized properly wherever they appear, and the two crew info pack options read as normal sentences instead of uppercase field captions.
Fix: Open on the Events Overview now opens the event
- Open on an Events Overview card, and the Needs attention rows, now go straight to that event in the crew planner instead of landing on the events list.
Import vehicles from Current RMS
- Import Vehicles from Current RMS, on the Vehicles tab in the crew planner. It lists the vehicles held in Current RMS with their number plates, shows which are new and which already exist in the planner, and lets you choose what to bring in.
- Repeat imports update rather than duplicate. Vehicles are matched on the Current RMS record first, then the number plate, then the name, and a matched vehicle remembers its Current RMS record for next time.
- A vehicle type is guessed from the vehicle name on import, since Current RMS does not hold the planner vehicle type. The site is set to your first configured site. Both can be changed afterwards, and are never overwritten by a later import.
Events Overview: the whole job on one page
- Events Overview, a new top-level section in the sidebar. For planner managers it shows every event with its RAMS document, crew numbers, vehicles and crew info pack readiness, plus key numbers for the next 30 days and a Needs attention list for anything missing in the next three weeks.
- Crew members see the same section scoped to their own jobs, with their shifts, the site address and the minimum PPE.
- A Link RAMS control on each event. RAMPAGE still matches documents automatically by name and Current RMS number, and you can now link documents by hand or switch auto-matching off for an event when it guesses wrong.
- RAMS matching now ignores punctuation differences when comparing an event name to a document name.
Hosted-only releases
- Releases now ship the hosted build only; the standalone offline HTML file is no longer produced as a download. The application itself is unchanged.
Assign vehicles inside Crew it
- A Vehicles step in the Crew it wizard (step 3), where you tick the vehicles going to a job. The assignment saves as you go and shows on the event overview.
- The event overview told you to assign vehicles under Crew it, but Crew it had no vehicles section; it does now.
Fix: venue and address now flow into the crew info pack
- The crew info pack Event address is now pre-filled from the event's venue and full address when you have not typed one, so a venue imported from Current RMS appears on the pack, the overview, the shared link and the PDF without retyping. Anything you type yourself is still kept and always wins. The Current RMS import also now stores the full venue address on the planner event, not just the venue name.
Fix: venue not importing from Current RMS
- Importing from Current RMS sometimes left the venue blank in the crew planner (and the RAMS editor) because the site was held on the job's delivery destination rather than a top-level venue. The venue name now resolves from the destination when needed, matching how the address already worked, and the destination is included in opportunity searches.
A Support area for everyone
- Support: a sidebar area open to everyone, with frequently asked questions and a direct link to the full RAMPAGE manual.
- The manual is reachable again for all users from Support, after the version history moved to Super Admin in the previous release.
Changelog moves to Super Admin, plus a living developer handover doc
- Developer notes: a living handover document under Super Admin covering architecture, tech stack, folder structure, design decisions, technical debt, open issues, upcoming work, how to run locally, deployment, third-party services (where keys live, never the keys), the database structure, and the "don't touch this because…" areas. Maintained in source and updated each release.
- The full version history now lives under Super Admin (platform administrators only), as its own Changelog tab alongside Organisations and Developer notes. Everyone still sees the version number in the sidebar.
The address bar now follows where you are
- The URL now reflects the current view (for example #/planner/calendar or #/admin/company), so you can bookmark or share a link straight to it.
- Opening a RAMS gives it its own link (#/doc/<id>) that reopens that document. Browser Back and Forward now move through the app as expected, and a refresh keeps you where you were.
MSP wording for the core safety procedures
- The default wording for the Emergency, First Aid, Fire Safety and Environmental Protection procedures now follows the organisation vertical. MSP organisations get wording written around client sites, comms rooms, energised equipment and WEEE waste; Events organisations are unchanged. Organisations that have edited their own procedure wording keep it, and every document can still adjust the wording per job.
Redesigned Admin panel and a separate Super Admin area
- Super Admin: a separate area under Manage (platform administrators only) holding the organisations list and the database schema panel, previously a tab inside Admin.
- The Admin panel has been redesigned with a grouped sidebar of sections and a clearer content panel, instead of a single row of tabs.
Verticals now register in one place
- Internal change: the organisation vertical system is now driven from a single registry (wording, default library, category list and the admin dropdown all read from the same per-vertical entry). Adding a future vertical needs one registry entry rather than several separate updates. No visible change for existing Events or MSP organisations.
Fix: activity category filter follows the library
- The category filter and colour coding in the activity library and the add-from-library picker are now built from the categories actually present in the library, so they adjust automatically to an Events, MSP, or customised library.
- On MSP organisations the category dropdown in Add activities from library still listed event categories even though the activities were IT ones. The filter now reflects the loaded library.
New sign-in page and clearer password fields
- Redesigned sign-in page: a floating card over a softly animated backdrop.
- A show/hide (eye) button on every password field.
- Setting a password now asks for it twice with a live match indicator: on the installer, when changing your own password, when an admin resets a user password, and when creating a user.
Fix: RAMS preview and PDF wording for MSP
- For MSP organisations the RAMS cover and details read Project / Site / Works address wording, and the RAMS document lists use the same headings. The Crew Planner keeps its own job wording.
- The exported and previewed RAMS cover still read Event Safety Documentation, Venue and Event dates for MSP organisations because the cover block had a second copy that was missed. Cover, preview and lists now all follow the vertical.
Fix: RAMS builder wording for MSP
- For MSP organisations the RAMS builder reads Project details, Project name, Site name and Works address.
- The main RAMS builder was still showing Event and Venue labels for MSP organisations because a second copy of the editor had been missed. Both the builder and its preview now follow the vertical.
Vertical wording through the RAMS builder and documents
- For MSP organisations the sidebar strapline, the RAMS builder (Job details, Job name, Site name, Site address), the default scope of works, the section helper text, the on-screen preview and the exported PDF (cover kicker and details table) now use IT and field-service wording. Events organisations are unchanged.
Vertical wording and switching improvements
- The dashboard, RAMS and Crew Planner headings follow the organisation vertical (event/venue wording for Events, field/site/job wording for MSP). Changing the vertical of the organisation you are viewing reloads the page so the change shows immediately.
- Switching to MSP no longer leaves event wording on screen. The activity library is preserved on a switch; to load the vertical\'s built-in activities use Restore default library on the Activity library screen, which now names the vertical and how many activities it will load.
Database schema status check (platform admins)
- A database schema status panel on the Organisations screen, visible only to platform administrators. It shows whether the database matches the app version and, if not, lists exactly what is missing with a safe one-click "Run database upgrade".
Fix: changing an organisation vertical
- Changing the vertical returned "Bad Server Response" on sites upgraded from an earlier version, because the database column that stores the vertical had not been added yet. The upgrade step now runs so the column is created and the change saves correctly.
Fix: saving organisation feature toggles
- The Features toggles reported "could not save: invalid key" because the settings key was not on the server allowlist. Organisation settings keys are now accepted, and for safety only administrators can change them.
Organisation verticals: Events and MSP (IT)
- A new MSP (IT) vertical with a built-in library of over 100 managed-service activities: structured cabling, containment, fibre and splicing, working at height, electrical and power, comms rooms and data centres, civils and external works, lifting, confined spaces and site safety.
- A platform administrator can set each organisation\'s vertical (Events or MSP) from the Organisations table, which sets the default RAMS library and switches wording between event/venue and job/site language.
- The activity library and some wording follow the organisation vertical. Existing organisations default to Events, so nothing changes unless a platform administrator switches them.
Organisation feature toggles
- A Features tab under Admin lets an administrator turn RAMS, the Crew Planner and Timesheets on or off for the whole organisation. A module switched off is hidden from the menu for every user.
- Timesheets sits inside the Crew Planner, so turning the planner off hides timesheets too; the timesheets toggle can also be turned off on its own.
Call time is now the focus, not the period
- Across the overview, crew info pack, crew space and PDF, each shift reads day then call time then phase. The old period label (All Day, AM, PM, Overnight) has been dropped from these views since the call time is what matters.
- A call time whose start and finish were the same showed as "07:30–07:30". It now shows a single time.
Fix: crewing dialogs returning to the wrong place
- In the crewing flow, saving a cell (role or call time), removing a day, assigning across the run, copying a day or clearing a day dropped back to the event overview. These now return to the assign-to-days grid so you can keep working.
Reworked crewing: build a pool, then assign
- Step 1, Who\'s on the job: a searchable, filterable crew picker. Search by name or role, filter by role or to free crew only, with each person showing free / busy / leave / blocked and PLI status. Tap to add.
- Step 2, Assign to days: a people-down, days-across matrix. Tap a cell to add someone to a day; tap a filled cell to set their role for that day or a personal call time. A person can hold different roles on different days.
- Bulk actions: assign one person across the whole run, copy one day\'s crew to another day, and clear a whole day.
- The old role-first schedule grid is replaced by this pool-then-matrix flow. Existing assignments are unaffected, so overviews, crew packs, PDFs and the crew space keep working.
Fix: dialogs closing during text selection
- Dialogs (such as renaming a phase) closed if you dragged to select text and released the mouse outside the text box. A dialog now only closes when a click both starts and ends on the dark area around it.
Call times show everywhere, from Current RMS
- Phase call times are now imported from Current RMS and kept. You can edit a phase to set or override its call time, and that override survives re-import.
- Call times appear across the overview, schedule grid, crew info pack, crew space and PDF. Each shows the Current RMS job call time unless a specific time is set (a per-phase override, or a personal time for one crew member on a day, shown as "your call"). Where no time exists it says so rather than showing nothing.
- The import no longer discards the time part of Current RMS phase dates, which is why call times were not appearing.
Crew can open their jobs
- In My Crew Space, each job under My schedule is now tappable. It opens a read-only view with the event details, phases, the crew member\'s own call times for each day, and the site and logistics information the manager has added (address, parking, live times, dress code, contacts and more).
Fix: PLI certificate storage
- Uploaded PLI certificates are now read back and confirmed stored before the record is marked as having a file, so a certificate the server could not save no longer shows as downloadable and then fails with a retrieval error. A missing certificate now gives a clear "upload it again" message.
- The PLI certificate size limit is now 4 MB (down from 5 MB) to stay within common shared-hosting database limits.
Calendar Gantt view
- A Month / Gantt toggle on the crew planner calendar. The Gantt view shows one row per crew member across the days of the selected month, with each day filled when they are on an event, on leave or blocked out (pending leave is striped). It respects the crew filter, and clicking a day opens the day detail.
Download crew pack as PDF
- The event overview has a Download PDF button that builds a branded crew pack PDF in the same style as the RAMS documents (cover, numbered sections, boxed tables) covering the details, phases, crew schedule with call times, vehicles, site and logistics info and any linked RAMS. It downloads straight to a file, mirroring the shareable link as something you can send.
PLI certificate uploads
- Upload a freelancer\'s public liability insurance certificate (PDF, JPG or PNG, up to 5 MB) to their PLI record. It is stored securely on your server, only planner managers can download it, and a paperclip marks crew who have one on file. Replace or remove the file without losing the PLI details.
Phases everywhere, editable, plus per-crew call times
- The event overview and crew info pack now list the Current RMS phases, and the crew tables show the phase against each day.
- Individual call times: click a filled slot in the schedule grid to set a personal start and finish time for that crew member on that day. Blank means they follow the job time. Call times show on the overview and the crew pack.
- Phase names are editable from the schedule grid legend (for example Setup to Get-in), and your name is kept even when you re-import from Current RMS.
Fix: Current RMS setup guide
- The Current RMS connection guide previously described the wrong path for creating a key. It now correctly directs you to System Setup, Integrations, API, where you generate an API key.
Faster crew assignment
- The assign picker shows a grid of every day and period for the role. Pick a crew member, tick all the slots they should cover, and assign in one action. Filled slots are shown so you can see what is left.
- Assigning crew no longer closes the picker after a single slot, so filling a whole role is much quicker.
Current RMS load-in and show dates
- When an opportunity uses the Current RMS extended scheduler, its date segments (load in, show, breakdown and so on) are pulled through as labelled phases. The event window widens to cover every phase day, and each day column in the crew schedule grid is tagged with its phase, so you can schedule crew against load-in, show and breakdown days directly.
Navigation: one section at a time
- Opening a sidebar section now closes the others, so only one of RAMS, Crew Planner or Manage is expanded at a time. Opening a page still expands its section.
Fix: navigation clipping
- Expanded sidebar sections could be clipped, cutting off items such as Venues and pushing Admin out of reach; sections now show their full contents.
- On shorter screens and phones the whole sidebar now scrolls, so every item and the account buttons are always reachable.
Collapsible navigation
- The RAMS, Crew Planner and Manage sidebar sections can each be collapsed or expanded by clicking their heading; the choice is remembered.
- Opening a page automatically expands its section, so items like Admin are never hidden below the fold.
Fix: calendar month navigation
- Moving forward a month on the availability calendar could behave unreliably depending on time zone; it is now reliable, with a month picker and a Today button.
Interface polish
- The sidebar now uses one consistent set of line icons throughout, replacing the earlier mix of symbols and coloured emoji.
- Buttons are calmer and more consistent; Delete buttons only turn red on hover rather than always drawing the eye.
Fix: scrollable navigation
- With the added Crew Planner links the sidebar could run past the bottom of the screen; the navigation now scrolls, keeping the header and version footer in place.
Crew Planner areas in the sidebar
- The single Open Crew Planner button is now direct sidebar links to Events, Calendar, Crew, Vehicles, Timesheets, Leave, Outreach and Planner Settings. Crew-only accounts still see just My Crew Space.
Event overview page
- A full-page event overview gathering summary and status, logistics, crew and schedule with fill and clash stats, vehicles, linked RAMS with approval status, and the crew info pack and share state.
- Manual RAMS linking alongside the automatic match on event name or Current RMS number.
- Clicking an event now opens the full overview page rather than the older pop-up panel.
Fix: availability calendar layout
- The availability calendar was missing its styling and rendered as a broken stack; it now lays out as a proper seven-column month grid.
Crew Planner Phase 2: scheduling, availability, outreach and PLI
- Visual schedule grid on each event role (days x AM/PM/Overnight/All Day), click to assign, reserve or clear, with clash warnings and a fill bar.
- Availability calendar month view showing events, leave and blocks together, filterable by crew; add Home Office, Medical, Rest or Not Available blocks.
- Freelancer outreach log for recording availability enquiries per event or in general.
- PLI insurance tracking per crew member with Valid, Due soon and Expired status.
- Added Calendar and Outreach tabs to the Crew Planner.
Crew info packs
- Click a planner event to open an information panel, and give it a crew info pack: welcome message, address, what3words, parking, site contacts, the job brief, live and trucking times, health and safety, PPE, crew food, derig and custom fields. All optional.
- Share the pack as a public, revocable link showing the crew schedule, site details and any RAMS for the job. A public, printable info pack page is included.
Crew-only user accounts
- A third account type, Crew, that signs in straight to My Crew Space and cannot access RAMS. The restriction is enforced on the server.
- Administrators can set a person to Administrator, User or Crew from the Add user and user list screens.
Two equal pillars: RAMS and Crew Planner
- A redesigned dashboard presenting RAMS and the Crew Planner as two equal pillars, each with its own figures and entry point.
- A dedicated My Crew Space entry in the navigation for every signed-in person.
- Navigation grouped into RAMS, Crew Planner and Manage sections; planner-manager tools show only to planner managers.
- Strapline updated to "Event safety & crew management".
Crew Planner: import events from Current RMS
- Import from Current RMS on the planner Events tab (when Current RMS is connected): search opportunities and bring one in as a planner event, with subject, client, venue, dates and status mapped automatically.
- Re-importing an opportunity updates the existing event in place instead of duplicating it, and keeps roles, crew and vehicles already assigned.
- Current RMS linked events are marked in the events list and noted when edited.
Crew Planner
The full crew planning application is now part of RAMPAGE (hosted edition).
- Crew Planner in the navigation with server-enforced manager and crew access levels: crew database, vehicles, planner events with role-slot assignment and clash warnings, timesheets with approval and monthly hours/TOIL, leave requests and balances, a personal crew space for every user, and Excel import and export. Data is per organisation.
- Planner data is stored per organisation in the RAMPAGE database behind the same login, with the same separation and backups.
- The planner runs entirely from your server with no outside dependencies.
Full mobile support
RAMPAGE now works properly on phones and tablets.
- A mobile layout: compact top bar with a menu button, and navigation as a slide-in drawer including profile and sign out.
- Device-width rendering, so the app no longer appears as a zoomed-out desktop page on phones.
- Tables scroll sideways smoothly on small screens; dashboards, the hub, forms and the editor stack to a single column; previews and modals fit the screen.
- Form fields keep a 16px size on phones so iOS no longer zooms when tapping into them; modal buttons enlarge into touch targets.
- Profile, change password and sign out were unreachable on small screens; they now live in the drawer.
UX overhaul
Clear feedback for everything the app does.
- Live progress indicators for sending, testing email and connecting integrations, resolving to a success tick or a readable error.
- Buttons disable with a spinner while working, so nothing can be double-submitted.
- Confirmation dialogs before destructive actions, explaining exactly what will happen.
- A browser warning when leaving the editor with unsaved changes.
- Modals focus their first field and close with Escape.
- Every route to a document lands on its hub: dashboard Upcoming events and client/venue RAMS history included.
- Success and error messages are visually distinct, and errors stay on screen longer.
Email, client links & the document hub
Send documents to clients with one click, see when they view them, and get a proper feedback dashboard for every RAMS.
- Email sending (hosted): server built-in mail or your own SMTP account, with a one-click test. Credentials stay on your server.
- Send by email: a branded message with a secure button to a live, read-only client view, with recipients prefilled from the linked client.
- Client view page rendering the full document, always showing the latest version, revocable instantly.
- View tracking: every client open is recorded.
- The Document Hub: clicking a document opens a dashboard of approval, crew sign-ons, client views, sends and revisions.
- Crew briefing links and client links are now strictly separated link types.
Editing locks
Only one person can edit a document at a time, so nobody's work gets overwritten.
- Opening a document takes an editing lock; others see who is editing and since when, with read-only, try again, or admin take-over options.
- Read-only mode with a clear banner; saving is blocked while someone else holds the document.
- Locks release on save, cancel, navigation, sign-out or closing the tab, and expire within 90 seconds if a browser crashes.
- Admin take-over safely ends a stale session and is recorded in the audit log.
Briefing register fix
Sign-ons can no longer be lost when a document is saved.
- A crew sign-on that arrived while you had RAMPAGE open could be lost the next time you saved that document. Every save now merges the recorded sign-ons first, so the register always keeps the complete record.
Digital crew briefing & sign-on
Brief your crew from their phones and build a defensible briefing register on every document.
- Crew briefing links (hosted edition): publish a secure link and QR code for any document from the Crew briefing button.
- A mobile briefing page showing your branding, event summary, scope, key risks and controls, PPE, and the enabled site procedures.
- Digital sign-on capturing name, role, company, a confirmation statement, and a drawn signature.
- A briefing register on each document recording every sign-on against the document version, with re-brief flags after revisions.
- Links are revocable at any time and stop working immediately.
Last login column
The Users tab shows when each account last signed in.
- A Last login column on Admin, Users showing the date and time of each account's most recent sign-in, or Never for accounts that have not signed in yet.
Word layout tidy-up
Word exports now match the PDF more closely.
- Numbered section headings in Word exports ran together (for example "10Show Stop Procedure"); they now have proper spacing.
- The company logo rendered oversized in Word exports; it is now constrained to a sensible cover size. The on-screen preview and PDF are unaffected.
Word export made self-contained
Word export no longer depends on an internet-delivered engine.
- The Word (.docx) export engine is now built into RAMPAGE itself, so exporting to Word works without fetching anything from the internet and cannot be broken by an unavailable or blocked content network.
- Word export could still fail because the previous fix pointed at an address serving the wrong build of the engine, one that loads but never initialises in a browser. The engine is now bundled directly, with corrected fallback sources kept only as a last resort.
Automatic document version control
Document versions now move by themselves as you work, so the version column means something.
- Saving changes to an existing document automatically bumps its version (1.0 to 1.1 to 1.2), with confirmation of the new number.
- Saving without changing anything does not bump the version.
- Issue new revision is the major step: it takes the document to the next whole version (1.3 to 2.0), keeps the dated snapshot, and withdraws approval for re-approval.
- Duplicated documents start fresh at v1.0 with no approval.
Word export fix
Word (.docx) export works again.
- Word export failed with "Word export library not loaded" because the export engine was being requested from a web address that no longer serves it. It now loads from a working source, with an automatic on-demand fallback and retry if it is unavailable when you click.
Customisable procedures and integration setup guide
Emergency and Site Procedures become a fully customisable library with optional tick-to-include sections, and the Current RMS tab gains a built-in setup guide.
- Procedure library (Admin, Procedures): edit the standard wording of every procedure for your organisation, choose which are included on new documents by default, and add your own organisation-wide procedures.
- Nine optional tick-to-include procedures with professionally written defaults: Show Stop, Severe Weather and Wind Management, Crowd Management Interface, Lost Child and Vulnerable Person, Vehicle Movements and Traffic Management, Working at Night, COSHH and Hazardous Substances, Communications and Radio Procedure, and Safeguarding.
- Per-document control in the editor: tick the sections the event needs, tweak wording for that document, reset to your organisation default, and add one-off sections.
- Templates carry their procedure set.
- A Setup guide button on Admin, Integrations walking through connecting Current RMS, including troubleshooting.
- Documents render whichever procedures are enabled, numbered dynamically, in the preview, Word and PDF outputs. Existing documents keep their four sections and any edited wording, and gain the optional catalogue unticked.
Multi-tenant platform
RAMPAGE becomes a multi-organisation platform: fully separated workspaces overseen by a platform administrator.
- Organisations (hosted edition): each organisation is a completely separate workspace with its own documents, clients, venues, activity library, templates, company profile, users, audit log and integrations.
- Platform administrator: a super admin account that oversees all organisations, with create, rename, deactivate and delete from the Super Admin area under Manage.
- Organisation switcher in the sidebar for the platform administrator: open any organisation and work inside it as its own admin would.
- Per-organisation users: admins manage only their own organisation, and deactivating an organisation blocks its users from signing in.
- Current RMS connections are per organisation, so each client organisation can link its own system.
- Existing installations migrate automatically on first sign-in: the current workspace becomes the first organisation ("Primary") with all data intact, and the original administrator becomes the platform administrator.
Current RMS integration
Link RAMPAGE to Current RMS and import opportunities straight into new RAMS documents.
- Current RMS integration (hosted edition): connect in Admin, Integrations with your subdomain and an API token. The token is stored on your server only and never sent to browsers.
- Import from Current RMS in the RAMS editor: search opportunities by subject, client or number, pick one, and the event name, document ref, client, dates, venue and address are prefilled.
- Imported documents carry a Current RMS tag with the opportunity number, and imports are recorded in the audit log.
- Imports feed the existing client and venue records, so known venues still contribute their stored site information.
Version badge moved, PDF filename fixed
The version and What's new link moved to the bottom of the sidebar, and the PDF filename now shows the document version correctly.
- The app version and What's new link now sit at the very bottom of the sidebar, below Sign out.
- Downloaded PDF filenames were dropping the dot from the document version, so v1.0 appeared as v10. The version is now preserved in the filename (for example RAMS - Barhale Event - v1.0).
PDF styling and table headers
The downloaded PDF now carries the on-screen styling, and the risk table headers no longer squash.
- The PDF shows the brand gradient rule under each section heading and boxed, shaded detail tables, matching the on-screen preview.
- The Initial, Residual and Responsible column headers were wrapping and squashing in the PDF and preview; the columns have been rebalanced and the header text sized so they sit on one line.
Digital approval, user profiles and one-click PDF
Documents become fully digital with in-app approval, users gain proper profiles that appear on documents, and PDF export downloads instantly.
- Digital approval: any user approves a document from its More menu or the preview screen. Their name, role and the date and time are recorded and printed in the authorisation section, and the document is marked Issued.
- User profiles: first name, last name, job title, mobile number and email on every account. Managed by administrators in the Users tab, or by each person via My profile in the sidebar.
- Prepared by and approvals now show your full name rather than your username.
- One-click PDF: the Download PDF button saves a real, selectable-text A4 PDF immediately, with no print dialog.
- Documents are fully digital: signature and date columns and the blank crew briefing register are removed. The authorisation section records who prepared, reviewed and approved the document instead.
- An unapproved document prints "Not yet approved" in its authorisation section, so it cannot pass as authorised.
- Editing an approved document automatically withdraws its approval so the new content must be re-approved; issuing a new revision does the same.
- Approving with residual risks still at Critical shows a warning first.
Add user fix
A small fix so administrators can add new users again.
- The Add user button was missing from the Users tab in the Admin panel, so new accounts could not be created. It is now shown at the top of the Users tab, and the list refreshes in place after adding, changing or removing a user.
Clients, venues, workflow and admin
A major expansion that roughly doubles the application. Clients and venues become saved records, documents gain a status workflow, and a full admin panel is added.
- Clients as saved records. Name a client on a RAMS and it is stored automatically the first time. After that it autocompletes, and each client has its own page listing every RAMS raised against it.
- Venues as saved records with reusable detail. A known venue autofills its address and injects its access notes, known site hazards and nearest A&E into a Site and Venue Information section of the document.
- Document workflow with Draft, Issued and Archived statuses, shown throughout the app and on the document cover.
- Issue new revision: snapshots the current version into a dated revision history, bumps the version number and returns the document to Draft.
- Templates: save any RAMS as a reusable template (scope, activities and PPE) and start new documents from it.
- Admin panel (administrators only) with tabs for Company profile, Templates, Data and backup, Audit log, and Users.
- Company profile: full company details, a logo that prints on the cover, an optional insurance section, a health and safety policy statement, and a default preparer name.
- Data and backup: full JSON export, and import with merge or replace.
- Audit log of key actions in the workspace.
- Dashboard 2.0: global search across documents, clients and venues; upcoming events in the next 60 days; a needs attention panel; and a recent activity feed.
- Editor upgrades: client and venue autocomplete with live hints, a status control, prepared-by defaulting to the signed-in user, and a live residual risk banner.
- App version numbering with an in-app version history, shown in the sidebar.
- The old standalone Settings screen is folded into the Admin panel under Company profile.
- Generated documents number their sections dynamically, so optional sections slot in without leaving gaps.
Reliable PDF export
Replaced the PDF export engine so documents render correctly at full width with no cut-off.
- PDF export now uses the browser's native print to PDF (Save as PDF) instead of an image based converter. Text stays selectable and page breaks are clean.
- The PDF button is labelled Save as PDF to match the print dialog flow.
- Fixed the risk assessment table and body text being cut off on the right edge of the page.
- The risk table now uses a fixed column layout so its eight columns always fit within the page, whatever the content length.
Self-hosted and multi-user
Converted the single file tool into a self-hosting web application backed by a database, with its own installer and multi-user login.
- Self-install wizard: enter your database details, create an administrator, and the app builds its own tables and configuration.
- Multi-user login with administrator and user roles.
- User management: create users, promote or demote admins, enable or disable accounts, reset passwords and delete accounts.
- Server-side storage in MySQL or MariaDB, shared across the whole team.
- Security: bcrypt password hashing, prepared statements, CSRF protection, session hardening, and login rate limiting.
- Data now lives on your server rather than only in the browser, so it is shared between everyone who signs in.
First release
The original single file RAMS generator for live event production.
- Activity library of over 100 items across nine categories.
- Five by five risk matrix with Low, Medium, High and Critical bands, scoring both initial and residual risk.
- Per-job PPE selection, recommended automatically from the chosen activities and fully editable.
- RAMS editor covering event details, scope, risk assessment, method statement, PPE, emergency and site procedures, and sign-off.
- Branded document output with a cover page and a crew briefing sign-off sheet.
- Export to Word (.docx) and PDF.
