Data ownership and deletion policy

This policy explains how Tydeman Nar Limited ("we", "us", "our") handles customer data in RAMPAGE. It should be read alongside our terms and conditions, privacy policy and GDPR policy.
"Customer data" means the information a customer or its users enter, upload, import, create or generate within its RAMPAGE workspace. This includes RAMS documents and libraries, event, client and venue records, crew and vehicle information, files, account-user information and other workspace content.
Customers retain ownership of their customer data. Using RAMPAGE does not transfer ownership of that data to us.
You grant us only the limited permission needed to host, process, display and transmit customer data to provide, secure and support RAMPAGE while the account is active. We do not sell customer data or claim ownership of it.
We use customer data only to provide, maintain, secure and support RAMPAGE, to follow the customer’s documented instructions, and where the law requires us to do so. Where customer data contains personal data for which the customer is the controller, we act as the customer’s processor.
The customer must export any information it wishes to keep before requesting or confirming account closure. When the customer’s organisation account is closed, access to its workspace ends and deletion begins as part of the closure process.
There is no post-closure recovery or export period. Closing an individual user login does not close the organisation’s workspace; this deletion commitment applies when the customer’s organisation account and workspace are closed.
On account closure, we permanently and irreversibly delete the customer data held in that account. It cannot be restored, recovered or reopened by the customer or by us.
Customer data is removed from our live systems and from any backup or other copy under our control. We do not retain a backup, archive, dormant copy or other stored version of the closed workspace. Once closure and deletion have taken place, no customer data remains available from which the account or workspace could be reconstructed.
Where a sub-processor holds customer data for us, we require it to delete that data in accordance with our instructions and the terms governing its processing.
The deletion commitment above applies to customer workspace content and account-access data. We may retain a separate, minimal record where UK law requires us to do so, such as invoices, payment records and statutory accounting information, or where preservation is legally required for an active dispute, investigation or legal claim.
Any information retained under this narrow exception is kept only for the required purpose and period, is not retained as a backup of the workspace, and cannot be used to restore or reconstruct the closed account. It is securely deleted when the legal reason for retaining it ends.
